Candidate Privacy Notice<\/h1>\r\n

Thank you for exploring a career with BIS Safety Software Inc. (\u201cBIS,\u201d \u201cwe,\u201d \u201cus\u201d). Protecting your privacy is part of how we respect our applicants and employees. We may contact individuals (\u201cCandidates\u201d) who apply for an open position with our company, who express interest in employment with us and who perform an interview and assessment with us. This Candidate Privacy Notice (\u201cNotice\u201d) explains how BIS collects, uses, stores, and discloses personal information about Candidates. This Notice also describes the rights Candidates have regarding their personal information that we handle in line with Alberta\u2019s Personal Information Protection Act<\/em> (PIPA) and Canada\u2019s Personal Information Protection and Electronic Documents Act<\/em> (PIPEDA).<\/p>\r\n\r\n

\u201cPersonal Information\u201d refers to information about an identifiable individual. This includes any factual or subjective information that can be used to identify someone, such as name, address, phone number, or email address. It also includes information like age, date of birth, physical description, medical history, employment history, and other personal details.<\/p>\r\n\r\n

If you visit our public websites, BIS Safety Software web application, or BIS Safety mobile app, the privacy practices in our general Privacy Policy<\/strong><\/a><\/em>\u00a0apply instead.<\/p>\r\n <\/div>\r\n

Personal Information We Collect from Candidates<\/h2>\r\n

We may collect the following information from Candidates:<\/p>\r\n

  • Personal Identifiers: Full name, postal address, phone number, email, and similar details.<\/li>\r\n
  • Employment and Education Information: Records of your work history, education, training, affiliations, volunteer activities, and any other information you provide to us on your cover letter, r\u00e9sum\u00e9, transcript, and information obtained from your references.<\/li>\r\n
  • Assessments: Skill assessments and activities you complete during the recruitment process.<\/li>\r\n
  • Employment Eligibility information (with your express consent): Proof of identity or citizenship, work-permit or visa details, background or criminal-record checks where permitted by law.<\/li>\r\n
  • Publicly Available Information: Information about you that is publicly available, such as on social media.<\/li>\r\n
  • Audio, Electronic, and Visual information: Recordings from CCTV footage at our head office location for security purposes and interview recordings (where permitted).<\/li>\r\n
  • Information You Disclose: Any personal information you disclose voluntarily during the application process.<\/li>\r\n <\/ul>\r\n <\/div>\r\n

    Why We Collect Personal Information<\/h2>\r\n

    We collect and use Personal Information of Candidates to:<\/p>\r\n

    • Assess your qualifications for a position at BIS.<\/li>\r\n
    • Verify your eligibility and ability to be employed at BIS.<\/li>\r\n
    • Arrange travel or accommodation related interviews (where needed).<\/li>\r\n
    • Comply with legal and contractual obligations.<\/li>\r\n
    • Protect BIS\u2019 property, data, and entrusted client data.<\/li>\r\n
    • Keep in touch about future career opportunities\u2014only if you say yes.<\/li>\r\n
    • Address any legal matters that may arise, including inquiries or disputes.<\/li>\r\n <\/ul>\r\n <\/div>\r\n

      We collect Candidate Personal Information in the following ways:<\/p>\r\n

      • Directly from you: Through our Careers portal, by e-mail, or in interviews.<\/li>\r\n
      • From third parties: References you provide, recruitment agencies you engage, or professional licensing bodies.<\/li>\r\n
      • From public sources: Websites or social-media profiles that you choose to make public.<\/li>\r\n <\/ul>\r\n <\/div>\r\n

        How We Share Personal Information<\/h2>\r\n

        We do not sell Candidate data. We may share it only for legitimate business purposes with:<\/p>\r\n

          \r\n
        • Recruitment or background-screening partners under contract with BIS.<\/li>\r\n
        • Service providers who supply IT infrastructure, cloud hosting, or interview platforms (some may store data in the United States; contractual safeguards apply).<\/li>\r\n
        • Legal advisers, regulators, or law-enforcement agencies where required by law or to protect BIS\u2019s rights.<\/li>\r\n
        • All service providers are bound by confidentiality agreements and must use your information only as instructed by BIS.<\/li>\r\n <\/ul>\r\n <\/div>\r\n

          Personal Information Retention<\/h2>\r\n

          BIS will store your data on servers located in Canada in accordance with applicable laws. We retain your data for up to three (3) years after the job posting closes for the purposes described above under \u201cWhy We Collect Personal Information\u201d unless:<\/p>\r\n

          \r\n a) you become a BIS employee (in which case your data moves to your personnel record), or
          \r\n b) you give us permission to keep it longer so we may notify you of future opportunities, or
          \r\n c) we are legally required to retain it for a different period.\r\n <\/div>\r\n

          We may also retain your personal information, so we can consider you for other future openings at BIS.<\/p>\r\n <\/div>\r\n

          Protecting Your Personal Information<\/h2>\r\n

          The security and privacy of your Personal Information is important to us. All our team members and contractors who may access your Personal Information complete privacy training and agree to confidentiality agreements. Personal Information we collect is securely stored and accessible only to authorized individuals given the necessary permissions based on their role and need to access this data. Servers which store your personal information are protected with physical security controls to prevent unauthorized access.<\/p>\r\n <\/div>\r\n

          You have the right to access, correct, and update your personal information by contacting our Privacy Management Program. You may also request that BIS delete your personal information.<\/p>\r\n\r\n
